This policy explains what personal data One Media collects, why we collect it, how long we keep it and what rights you have. It applies to this website and to anyone who contacts us or works with us.

For the purposes of UK data protection law, the data controller is One Media Ltd, 1 Fenton Road, Rotherham, South Yorkshire, S61 4RD, United Kingdom, company number 06767271. You can reach us about anything in this policy at help@onemedia.click.

What we collect

Information you give us

Your name, company, email address and phone number when you submit the contact form or email us.
The contents of your enquiry, including budget and deadline information you choose to share.
Details needed to deliver work and invoice for it, such as billing addresses and contact names.
Your email address if you subscribe to the magazine newsletter.
Images, footage or recordings of you if you appear in a production, handled under a separate release form.

Information collected automatically

Technical data such as IP address, browser type, device type and operating system.
Usage data such as pages visited, time on page and the site or advert that referred you.
Cookie and similar identifiers, where you have consented to non-essential cookies.

Why we use it, and our lawful basis

To reply to your enquiry and provide a quote — legitimate interests, and steps taken at your request before entering a contract.
To deliver work you have commissioned and to invoice for it — performance of a contract.
To send the magazine newsletter or marketing emails — consent, which you can withdraw at any time using the unsubscribe link.
To measure and improve the website and our advertising — consent for non-essential cookies and analytics.
To keep accounting and tax records — compliance with a legal obligation.
To keep the site secure and prevent fraud or abuse — legitimate interests.

We do not sell your personal data, and we do not use it to make automated decisions that have a legal effect on you.

Cookies

Full detail is in our cookie policy. In short: essential cookies keep the site working and are always on. Analytics and advertising cookies are only set after you accept them in the cookie banner. You can change or withdraw your choice at any time through your browser settings or by clearing the banner's stored preference. Where we run advertising, our partners may set their own cookies under their own privacy policies.

Who we share it with

We share personal data only with organisations that help us run the business, and only as far as necessary:

Website hosting, email and cloud storage providers.
Analytics and advertising platforms, where you have consented.
Payment processors, accountants and our auditors.
Freelance crew, editors and writers working on your project under confidentiality terms.
Professional advisers, insurers, or authorities where we are legally required to disclose.

Each of these acts as a processor under contract, or as a controller in its own right where it sets its own terms.

International transfers

Some of our suppliers process data outside the United Kingdom. Where that happens we rely on UK adequacy regulations, or on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with additional safeguards where needed.

How long we keep it

Enquiries that don't become projects: up to 24 months from your last contact.
Client records and contracts: 7 years after the end of the relationship, for tax and legal reasons.
Newsletter subscribers: until you unsubscribe, plus a suppression record so we don't email you again.
Production footage and project files: as agreed in your contract; archived masters may be kept longer.
Website analytics: as configured in the platform, typically no more than 14 months.

Your rights

Under UK data protection law you have the right to be informed, to access a copy of your data, to have inaccurate data corrected, to have data erased, to restrict or object to processing, to data portability, and to withdraw consent where consent is the basis we rely on. You can also object to direct marketing at any time.

To exercise any of these, email help@onemedia.click. We will respond within one month. There is no charge unless a request is excessive or repetitive.

If you are unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Security

We use access controls, encryption in transit, reputable hosting and staff confidentiality obligations to protect your data. No system is completely secure, but we will notify you and the ICO where a breach is likely to affect your rights.

Children

This website is not aimed at children, and we do not knowingly collect data from anyone under 13. Where a production involves a person under 18, we work with a parent or guardian and obtain written consent.

Changes to this policy

If we change this policy we will update the date at the top of the page, and tell you directly if the change materially affects how we use data you have already given us.
